2026 REFUND POLICY

Refund Policy

ALL REFUNDS ARE PROCESSED BY WEDNESDAY AFTER THE EVENT HAS CONCLUDED

Withdrawal, Cancellation & Refund Procedures for Vanquish Athletics 

Vanquish Athletics understands that unforeseen circumstances, especially injuries, roster defections, player availability, etc. can occur over the course of a season. Teams should plan for the unexpected and understand that events sell out or reach max registration weeks and months before an event, forcing Vanquish Athletics to turn teams away. The scheduling process starts several weeks before an event is scheduled to take place. 

Once schedules are set to be released on the Friday before the week of the event, there will be no refunds given regardless of whether or not a replacement can be found. It is the responsibility of the team to notify the tournament director that they are not able to participate. 

When a team withdraws prior to an event: 

  • If a team withdraws 30 days or more before an event: A full refund shall be given, unless the division is full.
  • If the division is full, a 100% transfer to another Samantha Lichtner event is permitted. 
  • If a team withdraws less than 30 days before an event and no replacement is found: You can transfer 100% of your entry to another Sam Lichtner event as long as the following conditions apply:
  • You are not breaking a division by withdrawing
  • You are not making the division an odd number of teams at the time of withdrawing
  • If a team withdraws less than 30 days prior to the event Vanquish Athletics will attempt to find a replacement team up until schedules are completed, which is about 2.5 weeks prior to the event. If a replacement team can be found, a 100% refund shall be given. 

No Refund or transfer shall be given if: 

  • If a team withdraws and breaks a division or makes it an odd number upon withdrawing
  • Once schedules are set to be released, no refund is given regardless if a replacement team would be found. 

Refunds for cancellations or shortening of an event: 

While Vanquish Athletics and our Host Partners will make every attempt to play each event, weather and other unforeseen circumstances may prevent an event from being completed or in some cases, even starting. There is a great deal of preparation and work that goes into planning and preparing for tournaments. In those cases: 

We have increased percentages for 2026!

For “A”, “B”, and “OPEN” events: 

  • A 75% refund or 100% event credit will be given to teams that do not start any game in an event. 
  • A 75% event credit will be given to teams starting 25% of its scheduled games
  • A 50% event credit will be given to teams starting 50% of its scheduled games. 
  • No refund will be given to teams starting more than 50% of its scheduled games. 

For “C” events: 

  • A 75% refund or 100% event credit will be given to teams that do not start any game in an event. 
  • A 75% event credit will be given to teams starting 33% of its scheduled games. 
  • No refund will be given to teams starting 66% or more of its scheduled games.

Note:

  • If governmental agencies shut down our ability to play due to the a national emergency or a state emergency, refunds are not guaranteed and contingencies and actions will be determined at that time once we know the extent of any shutdown and how the extraordinary situation would impact our ability to remain in business. 
  • In the case where teams are due a refund but are registered and unpaid for future events run by the same director, that refund shall be applied to the balance due on those future events.
